Summary File Maintenance

The Summary File Maintenance (SFM) window displays when Summary has finished running. SFM reflects the choices you made for pricing and levels before running the Summary.

Note: A Summary file can also be opened by selecting (highlighting) the Summary name in the Open Summary window and selecting .

This Summary display not only gives you access to a Summary file, but it also allows you to access level subtotals, phases, and any invalid items that may exist. In SFM, you can quickly modify summarized items and re-total. Any changes you make only affect this Summary file.

 

WARNING!! If you make changes in SFM, then re-Summarize, the changes will be lost. Quantity changes and deletions will not be reflected in the Takeoff file and subsequent Summaries and Unit Cost Reports will not reflect those changes.

 

The SFM display is comprised of two main areas: tree view on the left and detailed view on the right.

As you highlight parts of the tree view, the detailed view changes accordingly. Whereas if a SFM window shows Summary highlighted, the entire Summary file is detailed to the right, if a level such as Category 900 is selected, only that Category's detail is shown on the right. The levels below Summary contain only the items within that level; Summary contains every item. (Remember that a Combined All Summary contains no level breakdowns.)

Subtotals are accessed by selecting (highlighting) Subtotals in the tree view. The Subtotals and their Material and Labor amounts are shown in the detailed view.  Active Subtotals (those with amounts) are shown in black. Subtotals shown in grey are inactive (no amounts accumulated). The Subtotals folder contains all of the Summary's Subtotals; its levels' details are just the Subtotals within that level.

Selecting (highlighting) Phases in the tree view displays the Phases. The Phases and their totals are shown in the detailed view. Phases shown in black are active (they have a total). Phases with no totals are inactive and are shown in gray. The Phases folder contains all of the Summary's Phases; its levels' details are just the Phases within that level.

In addition to the Summary, Subtotals, and Phases, there is a fourth tree view that may display: Invalid Items. Invalid items are those that even though they were taken off, at some point between Takeoff and the running of the Summary, were removed from the Databook or from the Estimate File (e.g., a Special item). If the program finds any invalid items during the running of the Summary, they will be included in a "folder" preceding the Summary folder.
